Officer Responsibilities

BYLAWS for PTO

2022-2023

 

 

  • Perform their title to the best of their ability, by using the bylaws booklet
  •  Attend 80% of regular scheduled meetings, give notice when unable to attend
  • Work as a team, and get help from other teams or chairs to accomplish organizational goals
  • Report to the President or Vice President with any issues concerning PTO

 

         All positions have a 1-2 yr. term

 

President

 

  • Attend PTO meetings, officer meetings, and training
  • Develop Knowledge of rules and regulations on campus
  • Exhibit tolerance of peoples’ opinion
  • Maintain control at all meetings
  • Serve on the budget and finance committee
  • Carry out the will of the association

 

 

 Vice-President

 

  • Aid the president when needed
  • Be familiar with the president’s duties
  • Assist in membership
  • Support in all chairs and boards
  • Serve on the budget finance team
  • Preside in the absence of the president
  • Keep the team abreast

 

 

2nd Vice-President (Program chair)

 

  • Select topics for PTO meetings; Allow the president to review and approve.
  • Coordinate with faculty on student and teacher involvement in programs
  • Appoint a committee or teams to work on the goals of activities
  • Preside in the absence of the president when needed
  • Review school guidelines, coordinate with other board members, relay info to the secretary

 

 

      3rd Vice-President (Membership Chair)

 

  • Responsible for initiating programs to encourage parent and teacher involvement
  • Plan and coordinate membership drive
  • Ensure that the list is sent to the president. The second copy for treasurer
  • Making membership cards
  • Keep a copy of members' names and dues
  • Collect dues and report to the president

 

 

4th Vice-President (Fundraiser chair)

 

  • Responsible for coordinating all fundraisers
  • Aid the president in order to meet primary goals for PTO
  • Supervise all fundraisers and activities
  • Serve on the Budget committee
  • Appoint fundraising teams, associate them through membership process
  • Preside if the president is unable to be 4th in line

 

Secretary

 

  • Keep records of all meetings
  • Notify members of meetings
  • Keep attendance
  • Conduct all correspondence (“News ”) of the association

 

 

Treasurer

 

  • Authorized custodian of the funds and receipts
  • Serve as Chairmen of the budget committee
  • Prepare forms for meetings of recorded funds (taxes)

 

 

 

 

 

 

 

 

 

 

 

All Chairs should follow bylaws and report any matters in the organization to the President. 

 

 

 

Accelerated Readers Chair

 

  • Work with Teachers and Librarians
  • Find out about reading programs in the community
  • Check on the status of reading levels at school
  • Aid in finding helpers for your children's reading improvement

 

 

 

Community Outreach Chair

 

 

  • Coordinate programs to maximize student’s donations
  • Arrange for pick up of donations and delivery to school (ex. Christmas drive)

 

 

Arts in Education Chair

 

 

  • Coordinate with the Principal and Art teacher on all cultural and art programs at the school
  • Secure the necessary volunteers to promote cultural art at the school

 

 

Environmental Chair

 

 

  • Promote and participate in environmental projects
  • Recruit volunteers for the upkeeping of school grounds and garden(will need to have a team of garden helpers in the spring)
  • Collaborate with the Arts in Education Chair on a project for children to show their concern for the environment.

 

 

Hospitality

 

  • Supply Refreshments
  • Welcome new members with a gift and info guide
  • Keep up with inventory supplies

 

 

Newsletter Chair

 

 

  • Publish and keep track of business resources, events in the community, and school
  • Obtain approval from president before release of any information
  • Must have a valid e-mail address that you check regularly

 

 

Historian

 

 

  • Keep copies of rules and regulations in the school
  • Have knowledge of Bylaws
  • Keep memorabilia of the organization
  • Keep photos of events, fundraising etc
